Who should have access to a loan file?

A useful permission grants the right person the access needed for a defined purpose. More access is not automatically better service.

What it means

Access controls identify users and limit what they can view or change. The principle of least privilege means granting only the permissions required for a task. In a lending workflow, a business owner, broker, lender reviewer, and administrator may need different information and different actions.

How to evaluate the practice

Ask how invitations, account verification, role changes, and access removal work. Confirm whether a lender can see only its submission or a wider file. If connecting financial data, inspect the requested permissions and whether access is read-only. A clear record of who acted and when helps investigate errors and unexpected changes.

What to verify

Your saved Capital Files and learning checks belong to your library account. Your secure loan application has its own access controls. Local learning keys can be visible to another person using the same browser profile. Sign out on shared devices and review access whenever a person’s role changes.

Give each person a job, then grant the needed access

Prepare a simple access list before inviting others: owner, finance preparer, adviser and lender reviewer. For each person, write down whether they need to read documents, edit application details or make a submission. NIST and FTC guidance support limiting access and reviewing it when roles change. The controls available in an actual service must be confirmed rather than inferred from a badge or invitation screen.

Scenario: a temporary accountant helps assemble the file

A fictional company brings in an outside accountant to prepare current financial statements. The accountant needs the relevant accounting records and a way to deliver the finished statements, but may not need authority to submit applications or invite lenders. The owner should choose the narrowest available role that supports the work and agree when that access will end.

When the assignment finishes, removing the invitation is only one step. The owner asks whether the accountant downloaded copies, what retention obligations apply and which outstanding questions still need answers. If a different employee takes over, create that person’s own access rather than passing on someone else’s credentials. Individual accounts make the record of actions easier to interpret.

Review access when the transaction changes

A loan file can outlast a particular employee, adviser or lender discussion. Revisit the access list after a staff departure, a change of broker or a decision not to pursue an offer. Ask whether revoking access prevents future viewing only or also affects previously downloaded information. No permission change can be assumed to retrieve copies already held elsewhere.

On shared devices, distinguish signing out from clearing local learning progress or removing downloaded documents. The Vault’s educational library and secure application are separate account contexts. Check the account you are using before saving or sharing. If permissions seem broader than necessary, ask the service owner to explain them before adding sensitive material.

  • Which actions does each role allow?
  • Can lender access be limited to the intended submission?
  • How are invitations verified and access revoked?
  • What activity record is available if a change needs investigation?
